Creating SOPs for Busy Business Owners Explained by Expert Scaling Strategist

E-commerce scaling strategist, Pip Harland, shares her recommendations for creating SOPs for busy business owners in an article featured on Norman Farrar’s e-commerce and Amazon FBA podcast website “Lunch With Norm.”

SOP stands for Standard Operating Procedures, which businesses rely on as they start to scale. Simply put, an SOP is a set of clear-cut directions and instructions created by an organization to help workers carry out routine operations.

Harland states, “The first step when it comes to creating SOPs is to understand your current position – how things work, who does what, and how everything fits together.” She then mentions that SOPs can be presented in two ways: written instructions with screenshots or video instructions. Generally speaking, it is advantageous to have written instructions with links to screen recordings when more detail is required.

Even though every business will have different needs and styles for their SOPs, there are some key points every SOP should include. Harland lists the following:

The introduction. Add information such as the title and number of the SOP, a brief description of the activity, the person that carries out the activity, and who is responsible for keeping the SOP up to date.
The overview. This is a high-level process flow (usually a diagram) with a short, written explanation of the overall purpose of the process.
The details. When working on this section, think of the “Who, What, Why, Where and When.” Creating a numbered list allows users to quickly identify the exact point they are at within a process, which is incredibly helpful for troubleshooting.
Authorization and controls. Ensure that it is stated who needs to provide authorization and how this authorization is given and documented.

Once completed, Harland recommends getting a person who has never completed the task before to carry out the SOP and troubleshoot any misguided or missed instructions.
